Duke of Edinburgh’s Award (DofE) expedition terms and conditions

Terms and Conditions must be agreed with the consent form

 

  1. By giving your consent for the participant to go away on the Expedition, you are giving permission for a Licenced Approved Activity Provider – Mud and Maps to remotely supervise a young people in conjunction with the 20 conditions set out by the DofE. Each participant will be in a group of 4-7, for 6 hours each day; they will be appropriately risk assessed and appropriately supervised by qualified supervisors.
  2. DofE requires participants to be unsupported on expedition and therefore each participant must take enough food for the expedition and be able to obtain enough water and have appropriate clothing. All of this will be discussed in detail during the online meeting.
  3. The Provider reserves the right to send participants home if there are conduct issues and if participants risk the health and safety of others but also of themselves.
  4. All participants must declare all medication, ailments or impediments on the consent form by the deadline and any that occur before the Expedition takes place. Please include in particular ankle, knee, and leg injuries. Participants must also be prepared to carry and take responsibility for their own personal medication.
  5. Transport to or from the expedition is Parental or Guardian responsibility. London Borough of Redbridge will not be providing this transport.
  6. I give consent to Mud and Maps to allow a young person to travel in a staff car in an event of an emergency or safety issue.
  7. Expedition drop off time – if young people arrive more than 15 minutes late, they may not be able to take part in expedition. The cost of the expedition will not be refunded.
  8. Expedition pick up time is 3pm – if parents/carer is more than 15 minutes late, they will be charged at a rate of £20 per 30 minutes to cover the cost of staff staying to ensure safety & care to young people. If parents /carer are 1 hour late, LBR Youth Service will be contacted. Charge will need to be paid before young people can be booked on next expedition.
  9. The London Borough of Redbridge will provide a Mud and Maps Contact Number and a Youth Service Emergency Contact Number to inform parents/guardians of any incidents and if participants need to leave the expedition under any circumstances.
  10. There is a discount of £40 available for participants on Free School Meals please discuss with the DofE Coordinator, if the expedition is unaffordable for other reasons please discuss with the DofE Coordinator.
  11. There are 20 places for practice expedition and 20 for assessment expedition, only participants who have paid and provided a consent form will be counted.
  12. The Expedition fee is non-refundable; however changes to expedition dates can be made at a £5 admin fee per change, if there is space available on the preferred dates and if moving does not affect the group numbers on the expedition the young person was originally booked on to.
  13. I understand that young people will not be allowed to use their Mobiles phones on expedition and if there is an issue the staff will contact us.
  14. Equipment care – Equipment must be retuned dry and clean on the date provided on the letter by the participant not parents/carer. Waterproof clothing must not be washed using washing machine. If equipment – waterproof clothing, rucksack & roll mat are returned not cleaned, staff will refuse to collect them. The parents/carer will be charged £10 to cover lateness and the cost of cleaning equipment.
