Who we are and what we do

The London Borough of Redbridge Council is a data controller under the UK Data Protection Law as we collect and process personal information about you in order to provide Estates & Asset Management services and meet our statutory obligations. Please see below why we need your information.

Why we need your information and how we use it

We use your information to administer the function of estates and asset management services which include property leasing, purchase enquiries, valuations, disposals, covenants, lease extensions, right to buy valuations and to provide services you have requested from us.

We have a statutory obligation to provide these services in accordance with the following legislations:

  • Limitation Act 1980
  • Land Registration Act 1925
  • Land Registration Act 2002
  • Local Government Act 1972
  • Land Compensation Act 1973

What type of information is collected from you

The type of information that we collect to administer our services are as follows:

  • name (company name also if applicable)
  • address (company address also if applicable)
  • email
  • telephone number
  • bank details

Generally, the information we hold will have been provided by you (on an application or enquiry form or when we communicate with you), but we may also hold information provided by third parties where this is relevant i.e. complainants, LGO, other council departments.

We will only ask for personal information that is appropriate to enable us to deliver our services. In some cases, you can refuse to provide your details if you deem a request to be inappropriate. However, you should note that this may impact on our ability to provide some services to you.

 

Who your information may be shared with (internally and externally)

 We may share information you have provided, and obtain information about you from other Redbridge Council departments such as Planning or Highways where held and only as appropriate.

We may also share your information with external agencies such as the Local Government Ombudsman in the event of dealing with direct appeals or complaints. In addition, your information may be shared with other external agencies to prevent fraud, or if required to do so by law and to agents appointed for the management of services.

How long we keep your information (retention period)

Leasing terms vary from property to property, however, details of historic leases are retained for a minimum of 6 years for audit purposes. The retention period for disposals, acquisitions and purchasing enquiries is a minimum of 6 years.

How you can access, update or correct your information

The Data Protection law gives you the right to apply for a copy of information about yourself. This is called a Subject Access Request. Find out more on how to make a Subject Access Request.

The accuracy of your information is important to us to be able to provide relevant services more quickly.   We are working to make our record keeping more efficient.  In the meantime, if you change your address or email address, or if any of your circumstances change or any of the other information we hold is inaccurate or out of date, please email
