Data protection

We regard the lawful treatment of personal information very important in maintaining confidence between the public and ourselves. We fully endorse and follow the principles of data protection as listed in the Data Protection Act 2018.

We fully observe conditions regarding the fair collection and use of information and ensure that the rights of people whose information we hold can be fully exercised, including the right to access that information.

All staff who collect or process your information are kept up to date with the latest data protection advice and guidance, and will be happy to answer any questions, or address any concerns you may have about the way we use it.

Who can request information under the Data Protection Act?

The UK General Data Protection Regulations gives you the right to apply for a copy of information about yourself.  This is called a 'Subject Access Request'. You can appoint someone (an agent) to apply on your behalf such as your parent or a solicitor.

We do not respond to broad requests such as 'What information does the Council hold about me?'. When you make a request please be as specific as possible and ensure that the description of the information you require is clear and detailed so that we can find the personal information you are seeking. If we do not have enough information in order to locate what you are seeking, we may come back to you with more questions.

Subject Access Request

How do I make a Subject Access Request?

Your request must be in writing. You can submit your request in the following ways:

  • by sending an email to: subjectaccess@redbridge.gov.uk
  • by sending a letter in the post to:

You must include:

  • your name 
  • your address 
  • a description of the information you wish to obtain
  • details of the service(s) you are receiving
  • any other information such as date of birth, rent or council tax number)that could help us find your information

If you are making a request on behalf of someone else

If you are making a request on behalf of someone else, you must include proof of their permission for you to do so, or provide evidence of:

  • a power of attorney
  • court order or
  • health professional evidence that they are unable to provide consent

Encrypt personal data

If you would like to ensure that your personal data is encrypted during transmission you should send an introductory email to subjectaccess@redbridge.gov.uk which means that we can send you an encrypted email via our Egress email encryption product.

You will then be able to reply to this email at no cost and attach your form and supporting identification safe in the knowledge that your personal documentation cannot be intercepted. It helps us greatly if you complete and submit our Data Subject Access Form as this ensures that we have all the information we require in order to process your request.

To ensure confidentiality, we will need evidence which confirms your identity. A copy of a photo ID, and proof of your address such as, driving licence or passport, and an energy bill would be acceptable. We keep all information securely, and in accordance with the Data Protection Act.
